Levels of Editing

Exact definitions vary among professionals and associations. I base my definitions and expectations on Editors Canada's Professional Editorial Standards, which apply to works of fiction and non-fiction. Every project is flexible, and the lines between different editing services may blur; I'll tailor my work to your needs!The standard levels of editing are listed in their usual order: structural editing, stylistic editing (by itself, or alongside structural editing or copy editing), copy editing, then proofreading. Choose your desired service(s) based on your needs, but note that skipping a level may have a cascading effect.


Structural Editing

"Assessing and shaping draft material to improve its organization and content. Changes may be suggested to or drafted for the writer. Structural editing may include:

  • revising, reordering, cutting, or expanding material

  • writing original material

  • determining whether permissions are necessary for third-party material

  • recasting material that would be better presented in another form, or revising material for a different medium (such as revising print copy for web copy)

  • clarifying plot, characterization, or thematic elements

Stylistic Editing

"Editing to clarify meaning, ensure coherence and flow, and refine the language. It includes:

  • eliminating jargon, clichés, and euphemisms

  • establishing or maintaining the language level appropriate for the intended audience, medium, and purpose

  • adjusting the length and structure of sentences and paragraphs

  • establishing or maintaining tone, mood, style, and authorial voice or level of formality

Dialogue missing some zip? Clumsy sentences dragging down your paragraphs? Struggling to maintain a formal, professional tone?Whether you're writing for children, hardcore hobbyists, or the general public, I'll adjust the language level of your text while maintaining your desired tone.I can perform stylistic editing on virtually any modern text or layout. Stylistic editing involves polishing your writing, not rewriting to suit my own preferences, but I'll recast sentences as needed.

Copy Editing

"Editing to ensure correctness, accuracy, consistency, and completeness. It includes:

  • editing for grammar, spelling, punctuation, and usage

  • checking for consistency and continuity of mechanics and facts, including anachronisms, character names, and relationships

  • editing tables, figures, and lists

  • notifying designers of any unusual production requirements

  • developing a style sheet or following one that is provided

  • correcting or querying general information that should be checked for accuracy

It may also include:

  • marking levels of headings and the approximate placement of art

  • Canadianizing or other localizing

  • converting measurements

  • providing or changing the system of citations

  • editing indexes

  • obtaining or listing permissions needed

  • checking front matter, back matter, and cover copy

  • checking web links

Note that “copy editing” is often loosely used to include stylistic editing, structural editing, fact checking, or proofreading. Editors Canada uses it only as defined above."- Editors Canada

Copy editing is a crucial step for all written content. Good copy editing elevates your writing, preparing it for publication.Copy editing—unless combined with stylistic editing—excludes making stylistic decisions, focusing instead on correcting errors like flawed grammar and incorrectly used words. For web publishing, proofreading tasks include checking for broken or incorrect website links, and inserting ALT text for images.Although manuscripts should be fact-checked before copy editing, I'll ensure all names, dates, facts, and statistics are correct, performing basic online searches and collaborating with the writer.

Proofreading

"Examining material after layout or in its final format to correct errors in textual and visual elements. The material may be read in isolation or against a previous version. It includes checking for:

  • adherence to design

  • minor mechanical errors (such as spelling mistakes or deviations from style sheet)

  • consistency and accuracy of elements in the material (such as cross-references, running heads, captions, web page heading tags, hyperlinks, and metadata)

It may also include:

  • distinguishing between printer’s, designer’s, or programmer’s errors and writer’s or editor’s alterations

  • copyfitting

  • flagging or checking locations of art

  • inserting page numbers or checking them against content and page references

Give your print book a professional sheen! I will annotate your designed PDF file using Adobe Acrobat's Add Comments feature, collaborating with the interior layout designer.If you need digital materials proofread, you've come to the right person! While proofreading is known as a step before print publication, the rise of digital publishing calls for a broader definition of the term proofreading.Whether your ebook is coded from scratch or converted using software, I'll read it on an e-reader, checking for errors in formatting and indexing. I'll make my edits on a text file, scanning every word for typos and major errors—essentially a "light" copy edit.

Editing Pass

Think of an editing pass (or editorial pass) as a "round" of editing. The publishing industry calls for multiple passes of each type of editing. The industry standard is three passes, done in collaboration with the writer (or, when proofreading, with the interior layout designer).I complete the first pass and submit the edited document along with an editorial report. You review and either accept or reject my proposed changes, then send the document back. I then complete the second pass and send it back to you, and so on.I'm willing to perform only one editing pass as a more affordable option for indie authors. This is an incomplete version of an editorial service, but you'll have the option to take what you've learned to self-edit, hire another editor to benefit from their fresh eyes, or gauge whether to continue to working with me on your project.

Editorial Report

Also known as an editor's letter, feedback letter, and so on.With each editing pass, I'll provide a letter summarizing my notes and expanding upon my explanations for suggested edits. From a reader's perspective, I'll highlight the strongest parts of your writing, along with any areas of potential concern.I strive to provide comprehensive editorial reports, but they can be time-consuming. My standard editorial services include structured and detailed letters, while my budget-friendly options include a more basic version.

Style Sheet vs. Style Guide vs. Style Manual

A style sheet is personalized for each project, ensuring internal consistency throughout the editing process. The content I'll include on a style sheet will depend on the type of editing.

A style guide, or a house style guide, compiles a list of editorial preferences to be applied throughout a series of projects. This is only relevant for series of magazines, books, blogs and websites with articles by multiple contributors, and so on.

A style manual is a comprehensive source of editorial decisions. If you don't have a preference, I'll default to CMoS (Chicago Manual of Style), the industry standard for published novels and many non-fiction books. Other examples of style manuals include APA style, MLA style, and The Canadian Press Stylebook.

Query Letter/Back Cover Blurb

Describing your entire manuscript in a few taut paragraphs is challenging, especially if you're close to your work. You want to tease your three POV characters, your intricate worldbuilding, your vast expertise in your field.Whether you want to impress a literary agent with a compelling query letter or attract readers with a marketable blurb, I can help you.Please note: The prices quoted below are meant for non-corporate clients. If, after reading your blurb, I realize I can't offer substantial value, I won't invoice you. I want to help you succeed!

Pricing

For a summary, synopsis, or blurb (under 300 words), I can offer a constructive critique for a flat rate of $5USD, which can be expanded into a collaborative editing process (two more revisions, over emails or over an audio or video call on Zoom or Discord), for an additional flat rate of $25USD.If I’ve already read your entire manuscript, I’ll write a summary, synopsis, or blurb for a flat rate of $50USD. I’ll give you multiple draft options, then collaborate with you over multiple revisions. If this text is meant for your website, a back cover, or anything other than a generic email, I’ll also proofread the text I’ve written for you.

Beta Reading

If you don't want to commit to Structural Editing, or if your manuscript is at an earlier stage, beta reading is a valuable alternative.My beta reading service is an informal manuscript assessment designed for independent authors and creators. I’ll appraise your manuscript’s structure, strengths, and weaknesses. I’ll tailor my response to your needs; if you exclusively want encouragement, constructive criticism, or praise for everything I love I about your book, let me know!I'll comment on your project as I read. You can choose to receive edits on the provided text file using Track Changes, or a separate document with a chapter by chapter breakdown. After I've read your project, I'll provide a basic editorial report, and can include a complimentary 15-minute audio or video call (on Zoom or Discord) to further discuss my thoughts.

Budget Book Editing

Are you an indie author on a modest budget? Do you want a professional editor’s keen eyes to catch errors in your self-edited book? Here are a few affordable options!Copy editing and proofreading services will include a basic style sheet. The 10k Sample includes a comprehensive editorial report; all other options include a basic editorial report.

10k Sample Edit

As an introductory offer for new clients, I will do two standard editing passes of one service of your choice: stylistic editing, copy editing, or proofreading, for the first 10k of your book at a discounted flat rate of $100USD. All options include a comprehensive editorial report.I can do one pass—partially or fully—on a voice or video call (via Zoom or Discord). I can share my screen while I leave comments on the document and explain my suggestions in real time.After this 10k sample, you can hire me to complete the job, or apply what you’ve learned while self-editing the rest of your book.

Basic Light Stylistic Editing

Instead of the industry standard 3 passes, I will do one light stylistic editing pass, making stylistic decisions to smooth out your text and improve clarity and flow.

Basic Light Copy Editing

Instead of the industry standard 3 passes, I will do one light copy editing pass. I’ll focus on writing mechanics, such as correcting grammar, syntax, and punctuation errors.

Basic Light Proofreading

Instead of the industry standard 3 passes, I will do two light proofreading passes, polishing your book’s final layout. I will scan for major typos and formatting errors to ensure your book is ready for print or ebook publication. I’ll use a light hand when making edits to avoid introducing more errors.

Authenticity & Sensitivity Reading

Note: I have no issues working with sensitive or controversial topics.I’ll assume any role you need: a potential reader (target audience), a parent screening materials before their children read them, a critical reader who’ll test your claims of having written a diverse and inclusive story, and so on.In a clear, constructive, and judgment-free way, I’ll highlight and explain any areas of concern.This is separate from other editorial services, but can be combined with structural editing, beta reading, or copy editing for a discount.Authenticity reading and sensitivity reading are used interchangeably, but I'll define these expressions separately:

I am comfortable discussing (and relatively knowledgeable about) a wide range of sensitive topics.

I've accumulated my fair share of lived experience, but I have an outsider’s perspective, in that I have insight into many communities despite not belonging to any. If my personal identity doesn't match your topic, even if I can personally relate to it, I’ll call it "sensitivity reading".

If you'd like to see if I'd be a fit for your project, please get in touch! I won’t agree to your project if I don’t feel qualified, or if I don't think my input would be of significant value.

My process will be identical to sensitivity reading, but I respect the movement of hiring sensitivity readers who personally relate to a specific topic. In October 2023, I earned a Professional Editing Standards Certificate from Queen's University, an intensive program based on Editors Canada’s Professional Editorial Standards.
